Two practical decisions come with going online. First, methods: bank transfer (ACH) and cards are the standard pair. Offering both removes excuses. Second, fees: processing costs money, and you have to decide whether the park absorbs it, the tenant pays a convenience fee, or the cost is simply reflected in rents. There is no universally right answer — but there is a universally wrong one, which is handling it differently tenant by tenant. Pick a policy, put it in the lease, and apply it evenly. Owners who fixate on processing fees are usually not counting what the envelope system costs them in trips, disputes, and delinquency discovered late; count both sides before deciding the fee is the expensive option.
Handle late fees consistently or not at all
Manual collection makes late fees personal: you decide, case by case, whether to charge your neighbor. That inconsistency breeds resentment and, worse, teaches tenants the fee is negotiable. A system applies the fee your lease specifies, on the day it specifies, to everyone equally. Tenants respect a rule far more than a mood. Set a fair grace period, put it in writing, let the system enforce it, and keep your discretion for genuine hardship cases — exercised deliberately, not by default.
Making the transition without drama
A rollout that works: start every new tenant on online payments from day one, no exceptions — this alone converts your park over time. Then move existing tenants with notice and a reason: a letter explaining the change, a date, and help getting set up for anyone who wants it. Expect a few holdouts; decide in advance how you will handle them, whether that is a firm deadline or a tolerated exception for a long-tenured tenant. Most tenants adapt faster than owners predict — many are already paying every other bill on their phone and are mildly surprised the park still wanted paper.
